BUILDING AN AGENTIC BACK OFFICE
What we learned automating quoting, scheduling, AR, and follow-up across 500 production accounts.
When we say 'agentic back office,' we mean a system that takes the four functions that drown most growing roofing companies — quoting, scheduling, accounts receivable, and follow-up — and runs them with AI agents that take action, not dashboards that wait for humans.
The pattern that worked across all 500 production accounts: each function gets a single agent with a narrow scope, a clear authority limit, and a forced human-in-the-loop checkpoint at the decision boundaries that actually matter.
The quoting agent generates and sends estimates up to a configurable dollar threshold without review. The scheduling agent confirms and reschedules crews directly with homeowners. The AR agent triggers reminders, partial-payment offers, and lien-warning escalation on its own timeline. The follow-up agent runs the lead nurture sequence and silently kills cold leads after 90 days.
The owners we work with don't want fewer dashboards. They want fewer decisions. The right autonomy boundary turns 200 daily approvals into 8 — and the eight that remain are the ones the owner actually wants to make.
